Automatically sync payments from inside Xero

Method one: Create Xero Bill pay runs from inside Telleroo (recommended)

You will first need to connect the Xero bank feed (tutorial here) and turn on Xero bills sync:

Now under the Xero Bills section, you can view all available invoices.

Select which invoices you want to pay and click Create Pay Run, you can then select the payment date and part pay any invoice along with selecting the reference you want to use.

Xero will always remain in sync and once you create the pay run, it follows the normal payrun process in Telleroo.

Scan Invoice for Bank Details

Click the text and a pop-up will appear where you can scan bank details.

Our bank scanner will be available when bank details are not stored in the Xero contact and their is an invoice attached. You just need to click Scan invoice for bank details for our scanner to attempt to scan the bank details.

You then just need to conduct a manual review of the invoice and the scanned bank details before clicking Update contact details in Xero.

Telleroo bears no responsibility for the bank details populated, please ensure you have checked that the sort code and account number match those on the invoice.

We will pass the bank details back to Xero so you don't need to scan the supplier's invoice again for this these details.

If you attempt to scan bank details without the Bank Details Manager permission, you will get an error message saying you don't have the authority to scan the bank details and to contact an admin of your account.

Please note: This feature is enabled as default for accountancies and businesses directly using Telleroo. If you are a client to an accountancy in Telleroo, please ask your accountant to enable Xero Bills and you will be able to access this feature.

Method two: Create payments from Xero

This method means you're unable to benefit from the bank scan feature available with auto sync above.

Our Xero bill payment integration, allows you to create a pay run directly from Xero without having to download payment files. Any changed that then happen to the bills in Telleroo are reflected in Xero.

Set up your Xero contacts

Any suppliers you want to pay using the bill payments sync need to have their bank details added to Xero. Below is how to add these:

  1. Contacts > All Contacts > Select a contact > Edit.

  2. Find the batch payments section

  3. Add the sort code, then account number. This can be formatted with or without spaces and hyphens.

( Top tip: If a supplier always requires a fixed reference, you can enter this into the details input below. This will always be used as the reference whenever a bill is created in Telleroo )

Turn on Xero payments

You first need to connect your Xero bank feed, then you can turn on Xero payments by going to the accounts section and clicking Turn on and following the steps.

Creating a pay run from Xero Bills

Once Xero payments is activated, any batch that is submitted into the Xero Telleroo bank account will be created in your Telleroo account under awaiting your approval.

( You will always be required to approve pay runs that are created from Xero.)

1. In Xero go to Bills to Pay and and click Make Payment:

2. select the bills you would like to pay through Telleroo

3. Click Make Payment button

4. Select the Telleroo account from the Pay from drop down.

5. Payment method choose Mark as paid

6. Select the payment date.

( If you choose today, payments will be sen immediately once approved. If a future date is selected the payments will be scheduled for 9am )

7. Once you've reviewed the information you've entered click Create Payment and a pay run will be created in Telleroo under awaiting approval with all company approvers notified.

Backup Method

Within the pay run batch, under Export Batch File you can download a CSV for the batch.

This produces a .csv file which you can download directly into our file uploader. Find out more about that here.

Telleroo will automatically join payments to the same supplier together saving you on transactions while the granularity remains in Xero.
