Everything you need to know about using Telleroo as a multi-entity.

Here’s how to use Telleroo as a multi-entity group. If you’re not using Telleroo yet, you can quickly sign up and get access below.

Easily view and switch between entities

Toggle between entities and only view and process invoices for the entity you're in. Use the 'Select Client' drop down to choose the entity you want to create payments for.

Quickly see what needs to be paid for each entity

Each entity can link their Telleroo accounts to their respective Xero accounts. We'll automatically retrieve invoices marked as 'Awaiting Payment' in Xero, allowing you to quickly identify what needs to be paid.

Simply select the invoices you wish to pay and click 'Create pay run.' From there, you can add notes, specify any part payments, and schedule the payment for your desired date.

We’ll update everything back in Xero almost instantly, ensuring that Xero accounts for each entity remain current and accurate.

Add payments from your favourite apps

Using various apps across different locations or entities? No worries! You can seamlessly connect each Telleroo account to your preferred applications.

Add users and assign roles for entities

Invite your team and choose which entities they can access under the 'Team' section. Additionally, you can assign roles to team members if they require the ability to make changes to those entities.

Each team member can be assigned one or more of the roles listed below:

  • Viewer - Allows the user to view pay runs and payments but bank details are censored. If combined with another role bank details are uncensored.

  • Creator - Allows the user to create pay runs for approval and set up connections to other apps such as the Xero bank feed.

  • Reviewer - Allows the user to review payments before they're sent to approvers. This can be handy for local teams and individual entities wanting to review payments before sending to a central department.

  • Approver - Allows the user to approve pay runs that are awaiting approval. If combined with the creator role the user will be able to create pay runs that don't require approval.

  • Dual Approver - Allows the user to approve pay runs that are awaiting dual approval. You can only assign dual approvers if you are a user for a specific entity, you won't be able to if you have an account that oversees all the entities.

  • Admin - Allows the user to add/edit users to Telleroo. This includes the ability to amend their own roles. We recommend keeping admin users as few as possible due to the extent of their controls.

  • Bank Details Manager - This permission will allow the user to scan bank details directly from the invoice when creating a pay run via Xero bills.

Setting different approval flows for each entity

You may want different people to approve payments depending on the entity involved. You can achieve this by assigning the appropriate permissions as mentioned above.

Additionally, you might need different levels of authorisation for each entity.

As an example:

  • For one entity, you can set it up so that one approver must sign off on a pay run before it can be sent.

  • For another entity, you might require two different people to approve pay runs before payments are made (dual approval), adding an extra layer of authorisation.

  • In yet another case, you might want Reviewers to check payments before they go to Approvers.

Choose how you top-up your Telleroo accounts

When adding funds to each entity's Telleroo account (so that we can send payments), you can use bank accounts in the name of the entity, or a company that's within the organisational structure.

Reconcile transactions in one click

We send all information about a payment back to Xero, so you can reconcile both GBP and international payments in one click.

Telleroo pricing for multi-entity groups

As a multi-entity, you get discounted pricing with Telleroo for 2+ entities. Telleroo charges based on the number of payments that you send in a calendar month.

If a specific entity doesn’t make any payments in a month, you won’t be charged. If another entity has a high volume of payments one month, their charges will return to normal when their payments decrease the following month.
