How to set up a supplier and employee pay run in Telleroo

In this four-minute video Laila, Management Accountant at award-winning accounting firm Linford Grey shows you how to set up a supplier and employee pay run in Telleroo, using the information available in Xero.

0:00 Hi I'm Laila and welcome to a run-through of Telleroo with Linford Grey. So the first thing we're going to go through is how to pay a Xero payroll from Telleroo.

0:10 So you'll see here in Xero I've just posted this pay run and so I'm going to click back to take me back to the pay and play screen.

0:18 I'm going to take note of the total pay column, 63,138 pounds and 11 pence. And then going to head over to Telleroo, click on my clients and go down to the corner of the screen.

0:30 Here's a line, page payroll I'm processing. I'm going to click this button in the top right, sync Xero payroll. And it tells me here that it has found one new pay run and it's processing.

0:44 And now I'm not going to click anything else with Telleroo until it tells me that that's complete. So that now says processing finished check your pay runs, I'm going to click on the pay run screen and refresh.

0:57 That's still showing status processing. So I'm just going to refresh it one more time. So you'll see here it's now awaiting approval and the total is 63,138 pounds and 11 pence.

1:10 That matches the total pay exactly so I can be happy that everyone is included. I'm also going to do another check by clicking into it.

1:16 And I'm just going to scroll down and check all of the employees' bank details and their amounts. I'm especially going to check the one at the top that tells me that the bank details have been updated.

1:30 There's also a tab that tells me one could not be imported so I'm going to click on that one to find out why.

1:35 So this person had a nil pay slip so I'm absolutely fine with that because there's nothing to pay. Then if you have the approval roll you can select approve pay run and if you want to you can also change the scheduled date and time at this point.

1:50 I'm going to go back to my pay run screen. So as you can see the scheduled date is the 30th of March at midnight and that will all happen automatically assuming that you've approved the payroll and that you have entered the funds into Telleroo.

2:03 So the next thing I'm going to show you how to do is how to pay a bill from Xero from Telleroo.

2:08 So within Xero I'm going to go to my purchases overview bills to pay screen and the awaiting payment tab. I want to pay a bill that's for each of my fees so I'm going to search for them here.

2:18 You can see that the one that I want to pay is at the bottom so I'm going to click the tick box on the left and then make payment.

2:26 Pay one bill. So this is the important part you select pay from and your Telleroo account. Payment method is marked as paid and I want the payment date to be the 13th April in the future.

2:41 So I'm going to select that here. You can also change the payment reference if you need to but it does automatically say the invoice number.

2:48 I'm then going to click create payment and finish and view batch. So the amount that's going to be paid is this total 26,077.98.

3:01 I'm going to go back to Telerbe and refresh my pay on the screen. Again it's processing so I'm just going to refresh it one more time.

3:08 So it's now awaiting approval at 26,077.98. That matches exactly so I'm happy. I'm just going to click into it, check the bank details again and the scheduled date.

3:18 And again if you're in approval you can approve the pay run here and change the scheduled date in time if you need to.
